PTO BOARD MEMBERSHIP
RESPONSIBILITIES OF THE BOARD MEMBERS
1. President
*Calls and preside at all meetings of the Board and the Members;
*Compiles an agenda for all meetings & distribute one week prior to
meetings;
*Acts on behalf of the PTO in urgent matters arising between PTO Board
meetings;
*Attends federation PTO meetings; and
*Fills vacancies on the Board with the approval of other Board Members
between elections.
2. Vice President
*Acts as President in the absence or incapacity of the President;
*Chairs ad hoc committees at the discretion of the President; and
*Assembles Teacher "Wish List."
3.
Secretary
*Records, posts and reports the minutes of all PTO meetings and ensures that
one copy is maintained in the official record book and copies are made
available to each Board Member and the Pastor as soon as possible;
*Serves on school Web site

*Manages response to emails sent to PTO
*Prepares and distribute notices and communications of the Board;
*Posts the agenda for all meetings one week in advance on the bulletin
board; and
*Prepares and disseminates official correspondence of the PTO
4. Treasurer
*Assists the school bookkeeper by reviewing the school’s annual budget;
*Presents current year financial reports to the Members;
*Attends Parish Finance Council meetings to represent the PTO on fund
raising matters
5. Fundraising
Chairperson
*Selects chairpersons for each major fundraising event in the spring of
the previous school year, so planning can get underway
*Oversees and coordinates all fundraising events and insures that accurate
records are maintained on expenditures;
*Sets dates for each fundraiser and consults with the Parish Office so that
these dates can be incorporated into the school and parish calendars;
*Reserves necessary facilities such as the school gym or cafeteria for
fundraising events well in advance;
*Maintains accurate records and reports on all fundraisers; and
*Investigates and presents recommendations regarding new fundraising ideas.
6. Early Childhood Center (ECC)
Representative
*Acts as liaison for the ECC faculty;
*Represents the parents and guardians of ECC students at the Board and
serves as a conduit for information back to parents and guardians; and
*Provides assistance to the Principal/ECC Director as requested.
7. Grade School
Representative
*Serves as a conduit for information between the parents and guardians of
students in the Grade School (grades K – 5);
*Assists the Principal, Vice Principal, teachers and/or Volunteer
Coordinator in the areas of communications, grade school enrichment programs
(development & operation of) and hospitality responsibilities in
coordination
with the representatives of the ECC and
Middle School (e.g. the annual Welcome Dinner held at the beginning of the
fall semester for new families).
8. Jr. High
Representative
*Serves as a conduit for information between the parents and guardians of
students in the Junior High (Grades 6 – 8) and the Board;
*Reports on Jr. High activities to the full school community through
articles in the school newsletter; and
*Assists the Principal, Vice Principal, Jr. High Teachers and the Volunteer
Coordinator as requested.
9. Extended Day
Representative
*Acts as a liaison for consultation with the Extended Day Director; and
*Reports on the status of all programs and issues to the Board.
10. Enrichment
Coordinator:
*Works with the Principal and Teachers in planning and coordinating
assemblies for the school;
*Organizes and plans Enrichment Day. May enlist help of the Grade School
and
Jr. High
Representatives and of course
the Volunteer Coordinator;
*May assist with arranging a speaker for Catholic Schools week;
*Maintains a resource file on available guest speakers and teachers.
11. Pastoral Council
Representative
*Acts as a liaison between the Parish Council and the school by
attending monthly Parish Council meetings and any other necessary parish
meetings or functions; and
*Encourages and assists the school and the parish in developing
family-centered workshops, programs, social events, and other activities
that promote the spiritual growth of school and parish families.
12. Diocesan Council
Representative
*Serves as the Board’s liaison to the Diocesan PTO Council;
*Attends all Diocesan PTO Council Meetings (3 per year); and
*Assists with the maintenance of the legislative network for the Grade
School, Jr. High and ECC.
13. Volunteer Coordinator
*Coordinates staffing of all classroom support positions, and other school
programs and activities requiring the time and talents of the Parents;
*Maintains records of the hours worked or the sums paid by each family to
ensure compliance with the agreements entered into by the families
concerning contributions to the school; and
*Collects money from those families who elect to pay the fee.
*Serves on the nominating committee for PTO elections and the ad hoc finance
committee
14. Publicity
Chairperson
*Coordinates all publicity for school fundraisers and other school
activities and/or programs sponsored by the PTO. This Chairperson shall also
be responsible for submitting items for publication in church bulletins, the
Arlington Catholic Herald, and local newspapers concerning school
activities, and accomplishments.
